Q: What if we need additional teacher accounts?
Send a request to support@dmgroupk12.com and include:
District name, user full name, email address, role, FTE, school(s). We will confirm that the account was added and will send account information directly to the user.
Q: The school schedule for some students does not seem to match our updated school schedule
Student gen ed schedules are connected to the DMSchedules for school schedule, but the schedule has to be finalized to be published to special education. If the school schedule is edited (in progress), staff will see the last finalized 'snapshot' of the schedule. Principals should always finalize the schedule after making edits.
Q: What if a teacher teaches at multiple schools?
In order to respect student privacy, each teacher is assigned to one or more school giving access only to students at assigned schools. If a teacher is not able to access some students, it is possible that the teacher was not assigned to that school.
Send a request to support@dmgroupk12.com with the teacher’s name, email address, role, and the school/s the teacher works at.
Q: What if a student is not in the system (can’t find using the search feature)?
It is possible that a student was added or identified after DMG imported student data. First make sure the student is not in the system by typing the first few letters of the first or last name (try both just to make sure). Also make sure you have permission to see students at that school by searching for other students in the school. See “What if a teacher teaches at multiple schools” if all students from a school cannot be found.
Once you determine that the student is not in the system:
In the Caseload Setup steps, on step 1, type the first few letters of the student name, then at the bottom of the drop down, select “Can’t find student? Add a student” and enter the student information.
Or, from My Schedule, go to My Students, click Add a student, and follow the instructions.
Or, as a school or district administrator, go to District Information > Students and click Add a student.
Q: What if a student is listed in the wrong grade or homeroom?
If a student is assigned to the wrong grade or classroom, you may change it as follows:
In the Caseload Setup, on Step 1, click the student grade or classroom and make the change.
Or, from My Schedule, go to My Students, search and select the student, then edit the student information.
Or, as a school or district administrator, go to District Information > Students, search and select the student, then edit the student information.
Q: What if a homeroom teacher changed grade, left, or a new teacher was added?
When editing a student’s record, if the homeroom teacher name is not available in the list, you can add it by clicking “Add a teacher”.
You may also contact DMG at support@dmgroupk12.com and specify the changes needed.
Q: I am trying to add a student but there is no option for the student's school
Teachers are only able to access students at their assigned schools. If you work at a school that is not available in the drop down, ask your school administrator to request a change from DMG.
Q: Why do I see events that say "Direct"?
This may happen after you remove all the students from an event, or if a teacher has reassigned one of your students' service to themselves, and the student is no longer on your schedule.
In any case, you may delete the event by double-clicking it and selecting Remove, or add student into the event by dragging them into it.
Q: Monthly services cannot always be divided into weekly. How can we schedule monthly services?
The application is designed around a typical week schedule, therefore services that are monthly or quarterly cannot be directly scheduled. Here are a couple of suggestions:
- Use the event notes to specify the service is Monthly by clicking the event on the schedule and adding notes. The notes will appear on the Day views.
- Use a color code to highlight monthly appointments by clicking the event on the schedule and picking a different color.
Q: There is no Save button. Will my work be saved when I log back in?
Yes. Rest assured that everything you place on your schedule is saved automatically as you work on it, there is no need to save anything, and everything will still be there when you log back in.
Q: Can I share my schedule with a co-worker?
Yes. click the Share button above the schedule and select the name(s) you would like to share with. Specify if they can only view or view and edit your schedule. If someone shares their schedule will you, their schedule will appear under the Shared Schedule button in the main navigation bar, which only appears once at least one teacher has shared a schedule with you.
Q: Can I manage the schedule of my teacher assistant (or paraprofessional)?
Yes. The assistant would need to have an account in the software (you can request this from DMGroup by providing your district name, school, the assistant name, role, FTE, and email address. Then have the assistant share their schedule with you as View and Edit. If you prefer not to have your assistant access the software, just mention it to DMGroup and they will share that schedule with you.
